Reservations Screen
When you login to Reservation Genie it takes you directly to your
Reservations Screen with the current day on screen. Your
Reservation Screen updates every 30 seconds with new reservations from
various sources. From this screen you can manage all of your incoming
reservations as they arrive in real time. You also use this screen
to manage customers as they arrives. You can do all of the following from your
Reservations Screen:
- Add Reservations: You
can add new Reservations that come over the phone using your Add
Reservation Tab.
- Confirm or Deny Pending
Reservations: Pending reservations are those that are not
automatically confirmed based on your custom party size constraints.
Confirming or denying reservations is done with a single click on
the green and red icons next to Party Size in the Pending Reservations section.
- View Reservations Details:
Clicking on the arrow to the left of the Time column will trigger a
pop up window with details about the reservations such as guest phone
number, associated perks, notes, etc.
- View Source of Reservations:
Reservation Genie manages reservations from various sources. Direct reservations are
ones that are entered by your staff using the Add Reservations Tab,
Web Reservations are from your website, RG reservations are from
Reservation Genie, Concierge Reservations are from concierges using
Big Concierge, and Aff reservations are from partner sites.
All of these reservations are included in the monthly fee except
concierge and partner site reservations. We charge a per
person fee for those and split the referral with the booking party
to create an incentive to book at and promote your venue.
- Manage Reservations: As
guests arrive you may use the icons to the right of the perk column
to mark them Cancelled, No Show, and Complete. You may also
edit reservations using the edit icon. By marking reservations
No Show and adjusting Party Size you avoid paying reservation fees
for parties that do not show.
- View Different Days: Using
the links in the blue column to the left, you may view past and
future reservations.

Schedule Settings Screen
Your schedule screen allows you to configure the maximum number of
guests for any time slot during any day. This enables you to limit
reservation activity during peak times as well as turn off capacity when
you are not available by setting the number to zero. In the
example below, the venue has turned off reservations on Sunday as well
as between 7:30 and 8:30 on Friday and Saturday nights. They also
accept reservations until 10pm on Friday and Saturday but stop at 9pm
Monday - Thursday.

Perks Settings Screen
Your Perks screen allows you to provide an incentive to visit during
off peak hours by attaching a perk to those times. It's a great
way to promote happy hour as this information is available to all
bookers while making reservations from various sources (concierges have
their own perks). Perks are created by using selecting the "new"
link in the blue area to the left after which they become available in
the drop down menus for each time slot. In this example, the venue
is offering 20% off all day on Monday as well as early bird specials if
you come in before 7pm. Thursday - Saturday require you scroll to
view them. Users can see availability and perk information for
venues when they book and may choose an earlier time if they wish to
receive the perk. Perks are not required.

Notifications Settings
Screen
Your notifications screen allows you to change how you are notified of
reservations. Ideally you would have a computer logged in at all
times receiving constant updates of reservation information.
However, Reservation Genie works for various sized businesses, some of
which may prefer to manage reservations exclusively through text message
notification. You can receive notifications by text messages,
automated phone call, email, or any combination of the three. A
link to a special mobile phone interface is included in your emails if
you wish to confirm or deny reservations via a smart phone.

Reservations Settings
Screen
Your Reservations Settings screen allows you to control several features
regarding your reservations. You may choose the maximum party size
that is available to users when they book reservations. You can
also choose to auto confirm all parties, or just parties that are
smaller than your Maximum Size for Auto Confirm. You may also set
the lead time, which is the amount of notice required for reservations
and offer a custom note that is displayed to all parties during the
reservation process.

Concierge Settings Screen
Concierges book through a private website called Big Concierge (www.bigconcierge.com).
They frequently need to send guests on short notice, so they have their
own lead time (amount of required notice). You may also offer a
special perk to concierges as that enables them to book reservations
more easily by offering something above and beyond a walk in suggestion.
This in turn helps them book formal reservations, which decreases the
chances they drop in a different venue while on the way.
